The product questions, not the legal ones. Looking for province-specific landlord-tenant rules instead? See our pages for Ontario, BC, Alberta, and Quebec.
How does The Great Renter's screening process actually work?
You send your applicant a secure link by text or email. They confirm their identity on their own phone and consent to the checks themselves, so you never collect or store their documents. A report lands in your inbox once they're done, usually within minutes.
How long does it take to get a report back?
Most reports are ready within minutes of your applicant completing their part. If extra verification is needed, such as a name that partially matches a watchlist entry, it can take up to 24 hours while that gets reviewed.
What's actually included in a report?
Every report includes identity verification and a full Equifax credit history. The Complete and Priority Complete packages add adverse media screening and a global watchlist check. Priority Complete also adds direct access to our in-house support team if you have questions about a result.
Does my applicant have to consent, and is that a real requirement?
Yes. Consent is built into the flow itself: your applicant reviews and agrees to each check before anything runs, and they can see exactly what's being requested. This isn't just a formality. It's required under Canadian privacy law for anyone pulling a credit report or background check on another person.
Is this compliant with Canadian privacy law?
Yes. The process is built around PIPEDA, Canada's federal private-sector privacy law, and data is handled with bank-level encryption throughout. Your applicant deals directly with us for anything sensitive. You receive the finished report, not their raw documents.
What if my applicant refuses to be screened?
That's their choice to make, but screening is standard practice for Canadian rentals, and most serious applicants expect it. If someone won't verify their own identity at no cost to them, that's information too. You're welcome to share our sample report with them so they can see exactly what gets checked and why.
What happens if I'm not happy with a report?
Every Quickscreen report comes with a money-back guarantee of up to $50. If something's wrong or you're not satisfied, contact us and we'll refund you.
Do I need an account or a subscription?
No. Quickscreen is pay-per-report: no subscription, no monthly fee, and no account required for a one-off screening. If you manage several properties, a Great Renter account adds a dashboard, team seats, and volume pricing instead.
I'm screening applicants across several properties a month. Is there a better rate?
Does the law around tenant screening differ by province?
Yes, quite a bit: what a landlord can hold as a deposit, how rent increases work, and how much notice an eviction needs are all set provincially, not federally. We've written up the specifics for Ontario, British Columbia, Alberta, and Quebec.
Can I screen applicants outside Canada?
Yes. The platform supports both Canadian and U.S. tenant screening, pulling from the appropriate credit bureau for whichever country your applicant is in.
How do I know a report hasn't been altered before someone shows it to me?
Every report is tamper-proof: it's sealed at the source so it can't be edited after the fact, and a shared report carries a verification badge confirming it matches the original. What you see is what Certn and Equifax actually returned.
