How we protect screening data
A tenant screening report holds some of the most sensitive information a person has. Here is how we handle it, in plain language. Our privacy policy is the governing document.
Consent comes first
No check runs until the applicant has reviewed it and agreed to it. Consent is built into the screening flow itself rather than left to the landlord, and it's required under Canadian privacy law for anyone pulling a credit report or background check on another person.
Landlords never hold the documents
The applicant submits their own information directly to us and verifies their identity on their own phone. The landlord never sees or stores the applicant's SIN, banking details or ID documents. They receive the finished report, not the raw material behind it.
Reports can't be altered
Each report is watermarked and sealed when it is issued, so it can't be edited afterwards. A shared report carries a verification badge confirming it matches the original, so a landlord shown a report can trust it wasn't changed along the way.
How the data is handled
- Information is handled with bank-level encryption and is used only for tenant screening and related lawful purposes.
- We don't sell personal information.
- We process personal information under PIPEDA and the applicable provincial privacy laws.
- Information may be processed outside Canada, with appropriate safeguards in place.
- We don't make tenancy decisions. The landlord decides, and the report presents findings without a recommendation.
How long we keep it
- Screening records: up to one year.
- Biometric data from identity verification: about 30 days.
- Longer only where the law requires it.
Your rights if you were screened
You can ask to access, correct or delete your personal information, or withdraw your consent, and you can ask us to correct anything in your report that's inaccurate. Email support@thegreatrenter.com. The full details are in our privacy policy.
